How Bitrix24 Helps Cleaning and Facilities Management Companies Run Recurring Contracts, Rotas and Site Billing in One Platform

A villa handover needs a deep clean on Saturday, and the only supervisor who knows the gate code has called in sick. The client's facilities manager sends the request to somebody's personal WhatsApp at seven in the morning, and by nine it has scrolled out of sight. The monthly invoice for a twelve-month office contract goes out at last month's headcount, because nobody wrote down the two extra cleaners added mid-month.

Cleaning and facilities management runs on small recurring commitments — the same sites, the same days, the same crews, month after month — and almost none of it happens anywhere a manager can see it. Staff are on other people's premises. Requests arrive on whatever channel the client happens to prefer. And the margin on any single contract is thin enough that a handful of unbilled hours actually matters.

Bitrix24 puts CRM, scheduling, time tracking, invoicing, documents and client messaging in one workspace. Here is what it offers this sector specifically, taken from Bitrix24's own product pages — including where it stops.

One record per site, not a folder per job

The first thing a cleaning company usually needs is not clever automation — it is one place where a client and every site under that client actually live. In Bitrix24 that is the CRM: companies, contacts and deals, with the full history of what was quoted, agreed and delivered attached to the record rather than sitting in one account manager's inbox.

The product catalogue matters more here than the name suggests. Bitrix24's own documentation is explicit that "there is a separate entity called 'service' that you can use instead" when the business is service-based, so a monthly office clean, a periodic deep clean, a façade wash and a one-off post-fit-out clean can each be priced as a catalogue item with its own units of measurement, categories and custom fields. That is what turns a quote from a typed-out paragraph into something consistent across a sales team.

Recurring visits, deep cleans and a schedule that survives a sick call

Bitrix24 Booking is pitched at businesses that run on appointments — salons, clinics, rental services and, by the same logic, any operation dispatching people to sites at fixed times. Clients can book through customisable self-booking forms, and every booking can be turned into a lead or deal so the client's data lands in CRM instead of a spreadsheet.

Two features earn their place in this sector in particular. Automated reminders and notifications go out over SMS and WhatsApp with custom message text and timing, which is the difference between a site expecting your crew and a locked door at 6am. And an overbooking option with a waiting list means a slot released by a cancellation does not simply evaporate — useful when a deep clean gets pushed and you have a team already rostered.

Rotas, clock-in and timesheets for staff who are never in the office

This is the part most cleaning companies are really buying. Bitrix24's work schedules let you set clock-in and clock-out times, weekly workdays, and break timings and durations — and Bitrix24 describes this specifically as a workload management tool for teams that work in shifts, which is exactly the shape of a cleaning rota.

The online time clock is built in, and crucially it works from a phone as well as a laptop: staff start, pause and finish their working day on the device they already carry, and that data is aggregated for the supervisor rather than arriving as a photographed paper sheet at the end of the week. A chart of involvement in tasks gives a per-employee breakdown of who is doing what at any given moment.

On top of that sit work reports — daily, weekly or monthly, customisable, and repeatable automatically on a schedule you set. A supervisor can accept or decline each one with comments and attach a positive or negative score, and Bitrix24 aggregates those scores into a KPI figure viewable by employee or by department. For a contract manager judging which sites are actually being serviced properly, that is a more honest signal than a completed checkbox.

Quotes, invoices and getting paid on contracts that repeat every month

Estimates in Bitrix24 are created in one click from a deal, with the client's name, the services and the deal amount filled in automatically, and they can be saved as templates for the quotes you send most often. Rules and triggers can send an estimate the moment a client submits a form on your website — which, for a company fielding a steady trickle of "how much for a two-bedroom deep clean" enquiries, removes a whole category of delay.

Invoicing works the same way: raised directly from the deal, built from templates with custom fields, and — the useful bit for recurring contracts — sent automatically by rule when a deal moves to a chosen pipeline stage. Every invoice stays linked to its deal, so the argument about what was agreed is settled by the record. Bitrix24 also integrates with Storecove for e-invoicing, which is worth flagging given how quickly e-invoicing mandates are moving across the region.

Collection is handled with payment links generated from the deal and sent by email, SMS or messenger. The client picks a method, gets proof of payment on their phone, and your team can see the payment status in real time instead of asking accounts.

Contracts signed and consumables tracked without a second system

Bitrix24 Sign sends a document for signature as a link over email, SMS or WhatsApp, and the recipient does not need a Bitrix24 account to sign it. Fields can be autopopulated from the related deal, documents saved as templates, and automation can move a document through its stages — with visibility into where a signing process has stalled. Bitrix24 states the tool is UETA and ESIGN-compliant.

Consumables are the other quiet cost centre. Inventory management covers multiple warehouses — which maps neatly onto a central store plus per-depot or per-van stock — with receipts, transfers, write-offs and audits, items traceable from supplier to customer, and reports on stock balance and gross margin. Access permissions are set employee by employee, so a supervisor can log a transfer without being able to edit prices.

One inbox for complaints, quote requests and the 7am WhatsApp

Bitrix24's Contact Center pulls CRM forms, a website widget, live chat, WhatsApp, Telegram, Instagram Direct, telephony and email into a single hub, and any incoming message, call or form submission can automatically create a lead or deal — or attach itself to the existing client record.

Instant WhatsApp lets you receive client messages without registering your own WhatsApp Business account, which lowers the barrier for a smaller operator. Telegram chats arrive as deals complete with name, phone number and history. Telephony adds rented local numbers, extensions, call queuing, recording and transcription — so a complaint about a missed visit is evidence rather than hearsay.

Where it stops

Worth being straight about the edges. Bitrix24's pages describe scheduling, time tracking, stock and billing — they do not describe a CAFM-style asset register with planned preventive maintenance per item of plant, nor route optimisation for crews moving between sites. If either is central to how you operate, expect an integration rather than a native module.

The e-signature caveat deserves reading properly too. Bitrix24's helpdesk is clear that this is an electronic signature rather than a digital one, that each country sets its own rules, that some require a specific agreement with the client first, and that it is not permitted for every document type. For UAE labour and client contracts, settle that with your legal advisor before standardising on it. And the time clock is self-reported: it records when someone said they started, not where they were standing.

Where a partner comes in

None of this is difficult software. It is, however, a lot of decisions — whether a site is a company or a contact, whether a monthly clean is a recurring deal or a booking, which stage triggers the invoice, who gets to see the margin. Get those wrong at setup and you spend a year working around them.
