When the licence sits in a deal with a stage and a date, the renewal conversation is a pipeline item with an owner rather than something the community manager hopefully remembers. Bitrix24 says rules and triggers can act on stage changes, which is the mechanism that turns "renewal due in 60 days" into a task that appears on its own.

Desks and meeting rooms your members book themselves

Bitrix24 Booking lets you configure a booking form and place it on your website or social media so clients choose a service, a specialist and a time slot with no calls and no back-and-forth. Each team member or service has its own schedule, working hours and visit duration, which is how the platform avoids double bookings — map "specialist" onto a meeting room, a hot desk block or the podcast studio and the same logic holds for a business centre.

Two details matter for coworking in particular. Bitrix24 says booking forms can carry extra custom fields, so a member can say what the room is for or how many people are coming before they arrive. And payment systems can be connected to the booking form, so a slot is only confirmed once it has been paid for — the honest answer to members who block out the boardroom every Friday and use it twice a month.

Reminders and waiting lists protect your utilisation rate

An empty room that was reserved is worse than an empty room that was never booked. Bitrix24 lists automated reminders and notifications via SMS and WhatsApp, with custom message text and timing you control, plus a waiting list so a cancelled slot can be offered to someone else and overbooking handling for when demand exceeds capacity. Licence agreements and renewals signed without printing

Bitrix24 Sign sends a document for signature by email, SMS or WhatsApp, and Bitrix24 states the signer does not need a Bitrix24 account of their own. Documents can be built from saved templates with fields autopopulated from the deal, which suits the coworking pattern of the same licence agreement issued fifty times with a different name, desk number and rate. Bitrix24 describes the tool as UETA and ESIGN-compliant and says the preparation and signing process can be automated, with visibility into exactly where a document has stalled.

Monthly billing that runs on rules rather than memory

Invoices in Bitrix24 are created from a CRM deal, using templates and custom fields, and the platform supports automated rule-based invoicing — an invoice can be sent when a deal reaches a given pipeline stage. Every invoice stays linked to its deal, so the payment history and the member record are the same record. For one-off quotes — an event hire, a fit-out of a private office — estimates can be created in one click from a deal, saved as templates and sent automatically when someone submits a form on your site.

Collection is handled in the same place: Bitrix24 says you can generate a payment link from a deal and send it by email, SMS or messenger, with card, PayPal and Apple Pay among the supported methods, proof of payment delivered to the client and payment status trackable in real time. And because the product catalogue has a separate "service" entity alongside products, desk plans, room rates and add-ons can be priced as catalogue items rather than typed by hand each month.

The building itself: staff, visitors and internal requests

The operations side runs on the same account. Bitrix24 lists shared company and personal calendars with meeting room booking and calendar sync; a time-management set covering clock in and clock out, attendance reports, leave requests and an absence calendar for your front-desk and cleaning rotas; secure file storage where documents are only accessible with granted permission; and workflow automation for requests, approvals and notifications — the mechanism behind a member-request or maintenance-ticket flow that does not live in a WhatsApp group.

What it costs, and where it stops

On pricing, Bitrix24 says the basic CRM features are free and that Booking is available starting from the Basic plan, and it describes its pricing as a flat fee rather than per-user. Check the current figures on the Bitrix24 pricing page before you budget — plans and limits change.

The honest limits matter as much as the features. Bitrix24 own pages describe none of the things specific to flexible-workspace software: there is no door access control or turnstile integration, no credit-based meeting-room allowance ledger that draws down a member plan automatically, and no member-facing mobile app branded as yours. Those either come from apps in the Bitrix24 Market, from its open API, or from accepting a manual step. Any partner who tells you otherwise is selling you a project you did not agree to.

Where a partner comes in

The tools are generic on purpose; the configuration is where a coworking operator gets value. Resources have to be modelled so a four-person meeting room and a twelve-desk private office behave correctly, plans and rates have to land in the catalogue, renewal automation has to fire on the right date, and invoicing rules have to match how you actually bill — monthly in advance, overages in arrears, or both.
