How Bitrix24 Helps Printing, Signage and Branding Companies Manage Quotes, Proofs and Production Jobs in One Platform

A print or signage company is three businesses wearing one uniform. It is a sales business, quoting bespoke work where no two jobs price the same. It is a manufacturing business, moving physical material through cutting, printing, finishing and installation. And it is a service business, where a client who has approved artwork at 6pm expects the banner on site by Thursday. Most of the software on the market is built for one of those three.
So the work ends up spread out. Quotes live in a spreadsheet that only the owner understands. Artwork proofs go back and forth by email until nobody can say which version was approved. Job status lives in the production manager’s head, which is fine until he takes a week off. And the roll of vinyl that was supposedly in stock turns out to have been used on Friday. This article looks at what Bitrix24 actually offers a printing, signage or branding business, taken only from Bitrix24’s own published pages — including what it does not do.
From enquiry to estimate without the spreadsheet
Quoting is where print companies lose jobs, not because the price is wrong but because it arrives late. Bitrix24 supports one-click estimate creation, with every estimate linked to a deal, lead, contact or company, and the client-interaction history saved automatically. When an estimate is created from a deal, details such as the client’s name, the products and the deal amount are filled in for you — the quote is assembled rather than retyped.
Because most print work repeats in shape even when it varies in detail, Bitrix24 lets you build templates for your most common estimates, and use rules and triggers to send an estimate automatically once a client submits a form on your website. Estimates also have a Kanban view, so the quote book stops being a list and becomes a board showing what is out, what is chased and what has gone quiet.
A catalogue that understands square metres, not just SKUs
The reason generic CRMs fail print companies is usually the product record. A pull-up banner is not one item; it is a size, a material, a finish and a quantity. Bitrix24’s product catalog handles this in two ways it documents explicitly. First, there is a separate “service” entity alongside products, so design time and installation do not have to masquerade as stock items. Second, you can add custom fields that are unique to your business, and Bitrix24 gives dimensions and weight as its own examples — which is exactly the axis a signage job varies on.
On top of that you get categories and subcategories, units of measurement, discount pricing, images and video on the item, and the ability to import an existing catalogue rather than rekey it. The catalogue is also tied into the CRM and the website builder, so an item added to a cart on your site creates a deal automatically.

A production board instead of an inbox
Once a quote is accepted the job stops being a sales record and becomes a thing to be made. Bitrix24 deals move through pipeline stages, and its automation rules and triggers can move a deal down the pipeline and fire notifications to staff based on the stage it reaches. Alongside the CRM, Bitrix24 provides task management with a choice of Kanban board, Gantt chart, Scrum or task list, plus checklists, sub-tasks and time tracking.
For a print shop that maps cleanly onto artwork, proof, print, finishing, install and invoice as visible columns, with the design task and the install task hanging off the job they belong to. The value is not the board itself but that nobody has to ask where a job is, and the answer does not depend on one person being at their desk.
Artwork approval you can prove
Every print business has eaten the cost of a job the client insists they never signed off. Bitrix24 Sign is built for exactly this kind of closing step: you send a document for signature by email, SMS or WhatsApp, and the signer does not need a Bitrix24 account of their own. Bitrix24 states that it is UETA and ESIGN-compliant, and that it is integrated with the CRM so a document’s fields can be auto-populated from the relevant deal, with reusable templates.
The signing process itself can be automated with Bitrix24’s business process tools, and Bitrix24 notes that if the process stalls you can see exactly where it is stuck and step in. For a signage firm, that turns proof approval and installation sign-off from an email thread into a dated record attached to the job.
Material stock across more than one store
Bitrix24 includes inventory management across multiple warehouses, with every catalogue item traceable from supplier to customer and real-time status updates. You can create inventory documents and process stock receipts, sales orders, write-offs, transfers and audits, and stock balance updates automatically once an item is sold and the deal is closed. Reporting covers stock balance, gross profit and gross margin.
Two details matter for a print business specifically. Write-offs and audits give you somewhere to record waste honestly, which is the difference between a stock figure and a fiction. And access permissions can be set per employee — who may create products, apply discounts, edit stock receipts or change prices — so the workshop can book material out without also being able to reprice the catalogue.

Getting paid without chasing
Invoices in Bitrix24 are created straight from a CRM deal, support custom fields and templates, and can be issued by rule — triggers can send an invoice automatically when a deal reaches a given stage. Each invoice stays linked to its deal, so the billing history sits with the job rather than in a separate ledger. Bitrix24 also lists an integration with Storecove for e-invoicing.
For deposits, which most print firms take before production, Bitrix24 lets you generate a payment link from a deal and send it by email, SMS or messenger; the client chooses a method such as card, PayPal or Apple Pay, receives proof of payment, and your team can track payment status in real time. That is a practical way to hold the rule that artwork does not go to print until the deposit has landed.
The honest limits
Bitrix24 is not print MIS or prepress software, and nothing on its pages claims otherwise. There is no imposition or RIP, no colour management or ICC profiling, no press scheduling by machine capacity, no automatic substrate-and-ink cost calculator, and no web-to-print storefront with live artwork preview and preflight. A large-format printer running multiple presses to a shift plan will still want dedicated MIS for the factory floor. What Bitrix24 replaces is the layer around it — the enquiry, the quote, the approval, the job board, the material record, the invoice and the client relationship — which in most small and mid-sized print and signage firms is exactly the layer currently held together by spreadsheets, WhatsApp and memory.
What it costs
Bitrix24 publishes a free plan, and describes it as free forever for unlimited users with core CRM features; paid plans unlock the rest. It also states a flat-fee model rather than per-user pricing, which matters for a print firm where a dozen workshop and install staff may need access but only a few sit in front of a screen all day. Because plan contents and prices change and vary by region, check Bitrix24’s current pricing page rather than trusting a figure quoted in an article.
Where a partner comes in
None of the above is really a software problem. The work is deciding what a “job” is in your shop, building the catalogue so a square-metre price and a finishing charge behave correctly on an estimate, laying out production stages that match how your floor actually runs rather than how a demo runs, setting the automation so the deposit link goes out at the right moment, and deciding who is allowed to touch stock and pricing. Configured once, properly, it disappears into the background. Configured badly, it becomes another system people work around.
